Social Media Policy

Purpose

This Social Media Policy outlines how our practice uses social media and electronic communication while maintaining professional boundaries, protecting client confidentiality, and complying with ethical and legal standards.


Following and Friend Requests

To preserve the integrity of the therapeutic relationship and protect client privacy, clinicians do not accept friend requests, follow requests, or other personal social media connections from current or former clients on any social networking platform.


Messaging Through Social Media

Social media platforms are not appropriate channels for clinical communication.

Clients should not use social media messaging, direct messages, comments, or other platform-based communication for:

  • Therapy-related discussions
  • Scheduling appointments or appointment changes
  • Clinical questions
  • Sharing confidential or sensitive information
  • Crisis or emergency situations

Please contact our office through designated communication channels for any clinical, scheduling, or administrative concerns.


Comments and Public Interaction

Clients who choose to interact with our social media pages should be aware that such interactions may be visible to the public.

Activities such as liking, commenting, sharing, following, or otherwise engaging with our social media content may disclose information about your interest in mental health services.

Because social media platforms are public or semi-public environments, confidentiality cannot be guaranteed.


Reviews and Testimonials

To protect client privacy and confidentiality, our clinicians do not solicit testimonials or reviews from current clients.

Any decision to post an online review or testimonial is entirely voluntary. Clients should be aware that publicly posting a review may reveal their connection to our practice.

Late Cancellation and No-Show Policy

Purpose:
To ensure timely access to care for all clients and maintain operational efficiency, this policy establishes guidelines for late cancellations and missed appointments.


Policy Statement:
Clients are expected to attend all scheduled appointments. If a client is unable to attend, they must provide advance notice so the clinic can offer the appointment slot to another individual in need of services.


Definitions:

  • Late Cancellation: Any appointment canceled with  less than 24 hours’ notice.
  • No-Show: A client who fails to attend a  scheduled appointment without prior notice.

Cancellation and No-Show Guidelines:

  1. Notice Requirement: Clients must cancel or reschedule appointments at least 24 hours in advance.
  2. Late Cancellation Fee: Clients who cancel an appointment with less than 24 hours’ notice may be charged a fee of $125.00
  3. No-Show Fee: Clients who fail to attend an  appointment without notice may be charged a $175.00 fee.
  4. Exceptions: Fees may be waived under certain circumstances, such as emergencies or unavoidable situations, at the clinic’s discretion.
  5. Repeated Violations: Repeated late cancellations or  no-shows may result in:
    • A requirement for pre-payment before scheduling future appointments.
    • Temporary suspension of services.
    • Termination of services, as determined by the provider.
    • Seasons Counseling Center adheres to a strict policy: if a client cancels 3 sessions, they will be suspended.
    • If the client has No-Call/No-Shows or Late cancellations within 24 hours, the client will be terminated after 2.

  1. Insurance Coverage: Insurance plans do not cover late cancellation or no-show fees. Clients are responsible for these charges. If a Card is on file, that card will be charged for the fees.


Procedure for Cancellations:

  • To avoid a late cancellation fee, clients must notify the clinic by calling 573-327-9841, texting 573-664-4458, emailing leeann@season-counseling.com, or responding in the client portal at least 24 hours before the appointment.
  • If a client cancels an appointment, a discussion will be held regarding their commitment to treatment and alternative scheduling options.
  • Seasons Counseling Center adheres to a strict policy: if a client cancels 3 sessions, they will be suspended.
  • If the client has (2)- No Call No Shows/ Late cancellations less than 24      hours, the client will be terminated.

Patient Documentation, EHR, and Insurance Responsibility Policy

To ensure accurate clinical care, legal compliance, and timely insurance verification, all clients are required to complete and upload all required documentation in the online EHR system before being scheduled for services. Appointments cannot be confirmed, held, or completed until all required items are submitted.


Required Documentation

All clients must complete, sign, and upload the following items into the EHR (SimplePractice) before an appointment can be scheduled or held:

1. Client Information & Consent Forms

  • All intake forms are fully completed
  • All required consents and disclosures signed
  • HIPAA Notice of Privacy Practices acknowledgment
  • Practice policies acknowledgment

2. Identification & Legal Documentation

  • Copy of client’s (or parent/guardian’s) photo ID
  • Licensure documentation (if applicable for specialized services)
  • Custody agreement or court orders (required for all minors when applicable)
    • Must clearly outline legal custody, physical custody, and decision‑making rights
    • All pages must be uploaded

3. Insurance Information

  • Front and back of the insurance card uploaded
  • Insurance information entered into the EHR
  • All insurance‑related forms completed and signed
  • Any required authorizations provided

4. Additional Required Documents

  • Release of Information forms (if coordinating with schools, physicians, attorneys, etc.)
  • Any program‑specific forms (e.g., reunification agreements, parent education agreements)


Scheduling & Appointment Policy

Appointments will not be scheduled, held, or confirmed until all required documentation is fully completed, signed, and uploaded into the EHR.

If documentation is incomplete:

  • The appointment request will be placed on hold
  • The time slot may be released to another client
  • The client will be notified of missing items


Insurance Verification & Financial Responsibility

Insurance must be verified before the first appointment.

Please note: Insurance benefits do not guarantee payment.

Insurance companies may:

  • Deny claims
  • Apply deductibles
  • Apply co‑pays or co‑insurance
  • Determine services as non‑covered


If insurance denies or does not cover services for any reason, the client/parent/guardian is financially responsible for the full cost of services.

Any outstanding balance must be paid before the next scheduled appointment.

If payment is not received:

  • Future appointments may be paused
  • The  client may be placed on hold until the balance is resolved

This policy ensures compliance with insurance regulations and supports uninterrupted care.


Responsibility Statement

It is the client’s responsibility to ensure all required documents are uploaded and all forms are completed promptly. Seasons Counseling Center cannot provide services without complete documentation due to clinical, ethical, and legal requirements.
